How to engage business teams with lengthy contract process ?

The Brief

This major global industrial player came to Amurabi to fix a problem their commercial teams were facing negotiating high stakes contracts. Business teams would call the Legal Division minutes before entering negotiation from their car asking for “What sounds legal?” – unsure of which clauses could be negotiated and of the process to follow.

The Process

Focusing on the current user experience, to understand the information gaps and blind spots. During an in-depth work session with users, we elaborated several user journey to understand what their pain-points and challenges were. We focused on their perception of the law, current practices and information they needed to be comfortable in negotiating legal terms.

The Results

We changed the format from a static PDF to a digital-native document, to ensure on-the-go business teams could access it from anywhere (mobile, Ipads…). At first, a one-pager cover gives an overview of the entire process, to help users know where they stand. Each step can then be clicked to uncover in-depth information : the good legal reflexes to have in a specific situation, which clauses can be negotiated or not, what wording to use, who to contact… All the necessary information in a short and interactive document, for a smooth user experience of contract processes.

"How to handle conflictual situations ?"

The Brief

Our client trusted us to redesign a series of internal trainings, to make them truly accessible, engaging and actionnable.

The process

Amurabi organized a workshop with the main users of the training: a representative selection of the main business people concerned. The aim was to go through their user journey when faced with the legal issues at stake, identify their main pain points and expectations. From there, we restructured the information to ensure operational had all the necessary elements to be independent when facing legal negotiations.

The Results

A visual and interactive designed presentation used a main support for training. Through the training, the user is guided through the different potential situations he/she may face in real life – and why things become conflictual. After evaluating the risk, we present all the legal recommendation to avoid such situation before they arise – to lessen the risk for all parties involved !

"How to ensure actual reading, understanding and implementation of a compliance engagement letter?"

The Brief

This large, decentralized group challenged Amurabi to create a compliance engagement letter that general managers of hundreds of subsidiaries would actually read, understand and implement – for real. How to avoid blind signing on key issues such as anti-corruption and AML?

The process

For practical reasons, a user workshop was not feasible. We thus relied on our extensive and hands-on experience of compliance and usual users’ reactions to identify the main pain points. We then a work session with the legal and finance divisions to confirm or infirm our assumptions, and refined our analysis. We created a first prototype, which was then tested, refined and finalized.

The Results

An engaging document which guides the user through legal concepts in a simple and practical way, while retaining full legal accuracy. « The journey of a euro » was created to raise awareness among business teams on the potential consequences of projects – hence money flows- on compliance with complex regulations and contractual obligations.
